Website Privacy Notice
Mags Kerns Coaching
Mags Kerns, trading as Mags Kerns Coaching, is responsible for the personal information collected and used through this website and when responding to website enquiries or arranging introductory calls.
This notice covers website visitors, enquiries and call bookings. Information about how I handle client questionnaires and coaching records will be provided separately before coaching begins.
If you have questions about how I handle your information or would like to exercise your data protection rights, please email magskerns@btinternet.com.
What information I collect
When you send an enquiry, I collect your name, email address and the information you include in your message. I use this information to respond to you and discuss your enquiry.
If you book a call through Calendly, I receive the booking details and any answers you provide when arranging the appointment.
Please include only a brief outline in the contact form. You don’t need to provide detailed health information or confidential information about other people at this stage.
Why I use your information
I use your information to respond to enquiries, arrange introductory calls and discuss whether my coaching services may be suitable for you.
Where you enquire about becoming a client, this processing is necessary to take steps at your request before entering into a contract. For other general enquiries, I rely on my legitimate interest in responding to people who contact my business.
Sending an enquiry or booking a call does not automatically subscribe you to marketing emails.
Services used to handle enquiries and bookings
I use Hostinger to provide this website and its contact form, BTinternet email to receive and respond to messages and Calendly to arrange introductory calls.
These providers handle the information needed to deliver their respective services. If our introductory call takes place on Zoom, Zoom also processes information needed to provide the call.
When you follow a link to Calendly, its own privacy notice also explains how it handles your information.
How long I keep enquiry information
For enquiries that do not lead to coaching, I normally retain correspondence and booking information for 12 months after our last contact. I review these records every six months and delete those that have reached that period, so deletion may take place up to six months later. I may retain relevant information longer where necessary to resolve a complaint or meet a legal obligation.
If you become a coaching client, I retain relevant coaching records, including client questionnaires and session notes, for at least five years after our coaching work ends, in line with my professional indemnity insurance requirements. Further information about how I use, protect and retain coaching records, including any health information you choose to share, will be provided separately before coaching begins.
International processing
Some of the service providers I use may store or process personal information outside the UK, including in the United States. Their published privacy information and data-processing terms explain the safeguards they use, such as approved contractual protections or recognised data-transfer arrangements.
You can contact me at magskerns@btinternet.com to request further information about the safeguards relevant to your information.
Your rights
Depending on the circumstances, you have the right to request access to your personal information, correction of inaccurate information, deletion or restriction of its use. You may also have the right to receive information in a portable format and object to processing based on legitimate interests.
To make a request, email magskerns@btinternet.com.
If you have concerns about how I handle your information, please contact me. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.

I may update this notice when my website or the way I handle personal information changes. The latest version will be available on this website, with the date of the most recent update shown below.
